Project Tracking & Documentation
- Maintain project tracking logs (schedules, budgets, deliverables, permits, locates, RoW status)
- Own document control — filing, version control, and ensuring the right people have the right documents at the right time
- Track outstanding action items to closure
Meeting Coordination
- Schedule and coordinate project meetings (internal, client, subtrade)
- Take and distribute meeting minutes; track follow-up items and deadlines
- Prepare agendas and pre-read materials
Field Interface
- Act as liaison between office and field crews — relaying schedule changes, material needs, and site updates
- Coordinate field force scheduling, equipment/material logistics, and permit/locate timing with crews
- Flag field-reported issues (delays, site conditions, safety concerns) to the PM team
Systems & General Support
- Work fluently across project management, scheduling, and document systems (training provided on BAAC-specific tools)
- Support estimating and PM teams with data entry, reporting, and admin as needed
- Identify process gaps and suggest improvements to tracking/documentation workflows
