THE OPPORTUNITY
Georgian Bay General Hospital (GBGH) is seeking an enthusiastic Volunteer Resources & Student Coordinator to oversee our Volunteer Services and Student Learning Program. Under the direction of the Vice President People & Culture & CHRO, you will plan and implementing appropriate talent acquisition and retention techniques to grow and improve on our Volunteer Program, as well as our Student Learner Program at GBGH.
As the Volunteer Resources & Student Coordinator, you will lead the development and execution of an endorsed volunteer strategy, oversee the recruitment and engagement of volunteers, manage the Gift Shop and Coffee Café, and coordinate a comprehensive Student Learning Program in collaboration with Professional Practice and Human Resources at GBGH. This role is responsible for the full lifecycle of volunteer and student programs, ensuring meaningful experiences that support organizational priorities and enhance the patient and client experience.
This role calls for a highly organized and detail-oriented individual who can manage multiple priorities, work collaboratively with cross-functional teams, and deliver exceptional administrative and operational leadership to ensure the effective coordination of engaging volunteers, education and learner-related initiatives.
KEY ACCOUNTABILITIES & RESPONSIBILITIES
Program Leadership & Continuous Improvement
- Plan, develop, implement, and evaluate volunteer and student learning programs and services in alignment with hospital policies and strategic objectives
- Develop and maintain program policies, procedures, and role descriptions, ensuring compliance with organizational requirements, legislation, and collective agreements
- Identify and respond to evolving program needs, including ongoing initiatives and special projects
Recruitment, Onboarding & Lifecycle Management
- Lead the full recruitment and placement cycle for volunteers and students, including needs assessment, screening, interviewing, placement, orientation, and training
- Coordinate learner and volunteer scheduling and onboarding, ensuring alignment with operational and curriculum requirements
- Ensure fair, equitable, and compliant recruitment and selection processes
Stakeholder & Partnership Management
- Build and maintain strong relationships with internal departments to develop meaningful volunteer and student placement opportunities
- Act as the primary liaison for students, volunteers, staff, preceptors, and external education partners (e.g., school boards, colleges, universities)
- Represent GBGH in community partnerships and events to promote volunteer and student programs
Engagement, Experience & Recognition
- Foster a positive and inclusive environment through engagement, education, coaching, and recognition initiatives for volunteers and students
- Conduct ongoing rounding with volunteers, students, and program areas to support quality, satisfaction, and retention
- Design and implement recognition programs that promote a culture of appreciation and meaningful contribution
Operations & Resource Management
- Assign and coordinate volunteer schedules and activities, adapting to changing operational needs
- Oversee the volunteer spiritual care program
- Manage and monitor program budgets, including the Gift Shop and Coffee Café, ensuring fiscal accountability
Collaboration & Coverage
- Collaborate with and support Academic Relations functions to ensure integrated service delivery
- Provide cross-coverage support as needed across related portfolios.
QUALIFICATIONS & EXPERIENCE
The ideal candidate will possess the following key competencies, record of experience and academic preparation:
- Post-secondary diploma or degree in a related field, such as Human Resources or Business Administration.
- Minimum of two years of experience in volunteer coordination, administration, or a related field.
- Excellent organizational and problem-solving skills with the ability to manage multiple priorities.
- Strong communication skills and the ability to foster positive relationships.
- Superior organizational skills and the ability to prioritize competing tasks in a dynamic environment.
- Strong communication skills, both written and oral, with a high level of professionalism and
- Proficiency in scheduling applications, MS Office Suite (Word, Excel, Outlook), SharePoint, and virtual platforms like Zoom and Teams.
- Ability to make decisions, exercise judgment, and take initiative while handling confidential information.
- Demonstrated consistent punctuality and attendance record, maintaining a high level of reliability and commitment to performing duties with efficiency and effectiveness in previous roles
- Ability to adapt to change in a fast-paced working
- Ability to work flexible hours, including evenings and weekends as required; with access to reliable transportation is essential for this position.

- Hourly rate of pay $39.75 to $44.06 (ADMIN B3), plus a generous vacation allotment

HOURS OF WORK
Permanent Full Time. Hours of work are regularly Monday to Friday 8:00am to 4:00pm. At GBGH, we prioritize work-life balance, valuing our employees' well-being. Where possible can provide flexibility in working hours to accommodate a variety of schedules and support individual life commitments. Similarly at times flexible scheduling may be required to respond to organizational pressures such as investigations or events.
